Wedding photographer emergency continuity kit

Make the handoff before the emergency.

Give one trusted person a clear way to protect booked weddings, activate pre-vetted coverage, and keep active deliveries moving when you cannot respond.

Built for independent photographers and small studios. Operational planning aid only. No passwords, client contracts, or private gallery links belong in the files.

The gap a contact list cannot close

Your backup needs current decisions, not a scavenger hunt.

A contract clause or group chat may name people. It usually does not show which wedding comes first, what each person has agreed to, where the current timeline lives, or what the client can safely be told.

  • 01Every near-term wedding gets two realistic coverage routes or a dated owner action.
  • 02Protected information stays in its secure system; the kit records the location and owner.
  • 03The coordinator follows one verified trigger, one action log, and one closeout path.
  • 04Active edits, albums, galleries, and prints stay visible alongside event coverage.

What is included

A small operating system for the day you cannot operate.

The kit is deliberately focused. It helps another person find, verify, contact, transfer, record, and close out the minimum work that protects current clients.

01

Continuity playbook

Activation modes, role boundaries, secure handoffs, failure scenarios, and measurable readiness gates.

02

Wedding register

Macro-free workbook with fictional sample data, two-route coverage status, and dated owner actions.

03

Backup roster

Compatibility, travel boundaries, public contact routes, confirmation dates, and follow-up actions.

04

Production queue

Stage, deadline, file location reference, verified backup state, assigned route, and next action.

05

Handoff cards and scripts

Per-wedding, backup, production, client, planner, photographer, editor, and closeout templates.

06

Ten-minute rehearsal

A timed practice that exposes missing access, stale records, and ambiguous authority before a real event.

How it works

Prepare once. Review every wedding. Rehearse before you need it.

1

Name the roles

Choose a coordinator, alternate, and activation verifier.

2

Map the next 90 days

Record current events, routes, handoffs, and dated actions.

3

Protect the records

Use IDs and secure-location references instead of copies and passwords.

4

Run the rehearsal

Confirm another person can complete the route without coaching.

Questions before you rely on it

Clear boundaries are part of the product.

Does this guarantee a replacement photographer?

No. The kit helps you prepare and verify coverage routes, but it cannot promise that a person will be available. Every event still needs real, current confirmations.

Is this legal advice or a substitute for a contract?

No. It is an operational planning aid. Reconcile it with your client agreements, insurer requirements, local law, and professional advice.

Does the workbook store passwords or client contracts?

It should not. Use internal booking IDs and secure-location references. Credentials belong in a password manager or identity provider with documented emergency access.

Can a multi-location studio use one license?

The included license covers one individual business or one studio under common ownership. Contact support before educator, association, multi-studio, or resale use.

What applications do I need?

A PDF reader and Microsoft Word or a compatible editor for the playbook. Microsoft Excel or a compatible spreadsheet application is needed for the workbook.

What is the refund policy?

Because the kit is delivered immediately as a digital download, purchases are generally final after access is provided. If the files are inaccessible, incomplete, corrupted, or materially different from the description, contact support within 14 days so we can resolve the problem or review a refund. This does not limit rights that cannot lawfully be waived.
